Residency Terms & Guidelines

Confirming your reservation

Your residency invoice follows approval of your application. The offered room and dates are held for 24 hours from the time the invitation is issued.

To confirm the reservation, pay the 40% prepayment shown on the invoice within that period. If it is not paid in time, the hold expires and the dates become available again.

By confirming your reservation, you acknowledge that you have received and agree to follow the Shared Living & Studio Guidelines of Ikalto Micro Art Residence.

These guidelines cover shared spaces, personal belongings, instruments, recording equipment, electrical safety, and responsibilities during your stay.

The guidelines are provided before payment so that you can review them before confirming your booking.

Payment

We ask for a 40% prepayment to keep the dates for you. The remaining 60% is payable on arrival.

Additional services, purchases or expenses that may arise during your stay are separate from the residency fee unless expressly included in the booking confirmation.

Cancellations by Guests

We understand that plans change. Please let us know as early as possible if you need to cancel.

Three calendar months or more before check-in: Full refund of the 40% prepayment.

Less than three calendar months before check-in: The prepayment is non-refundable, but future-stay credit may be earned if the cancelled dates are rebooked.

Future-Stay Credit

The sooner you inform us of a cancellation, the better our chances of finding another resident for your dates — and the more credit you could receive toward a future stay.

The credit is 40% of the replacement booking revenue, capped at the original prepayment.

Future-stay credit applies only to cancellations made less than three calendar months before check-in. Guests who receive a full refund do not also receive credit.

Credit is issued once the replacement accommodation has been paid for. It cannot be exchanged for cash.

No future-stay credit is offered for no-shows.

Cancellation requests must be sent in writing, preferably by replying to your booking confirmation email.

The cancellation date is the date we receive your request.

Any refund will be returned to the original payment method where possible, subject to applicable law. Processing time depends on the payment provider.

No-Shows

If you do not arrive on your scheduled check-in date and have not informed us of a delayed arrival, your reservation may be considered a no-show.

Your prepayment is non-refundable, and no future-stay credit will be issued.

If we have not heard from you within 24 hours of your scheduled arrival, we may release the accommodation for new bookings.

If you expect to arrive late, please let us know.

Changes to Your Stay

If you need to change your dates, contact us as early as possible.

We will do our best to accommodate changes, depending on availability. Any difference in accommodation price will be communicated before the change is confirmed.

A request to change dates does not automatically extend the original reservation or guarantee alternative dates.

If alternative dates cannot be agreed upon, the original booking and its cancellation terms remain in effect.

Early Departure

If you decide to leave earlier than planned, please let us know as soon as possible.

The sooner you inform us, the better our chances of finding another resident for your remaining dates.

If we successfully rebook any of your unused nights, you'll receive future-stay credit equal to 100% of the replacement booking revenue, up to the original accommodation value of your unused nights.

Credit is issued once the replacement accommodation has been paid for and cannot be exchanged for cash.

Unused nights that are not rebooked are non-refundable.

Cancellation by Ikalto Micro Art Residence

If we are unable to provide your confirmed accommodation, we will inform you as soon as possible.

You will be offered either suitable alternative dates, subject to availability and your agreement, or a full refund of accommodation payments received.

This does not limit any additional rights you may have under applicable law.

Confirmation

Once your prepayment is received, we will send you a booking confirmation showing your room, dates, total accommodation price, amount paid, and remaining balance.

We look forward to welcoming you to Ikalto Micro Art Residence.

Shared Living & Studio Guidelines

We share this space with care. Mutual respect, clear communication, and attention to detail are key. The intention is simple: everyone should feel comfortable, welcome, and free to be themselves while respecting the people and things around them.

Communication

Share concerns with a light heart!

We dislike fighting and letting tensions pile up. If something bothers you, please talk about it early and openly. We'll do the same.

To make communication easier, we invite residents to join our Telegram group chat.

Bathroom

Please sit when using the toilet.

After a bath, hang the floor mat over the bathtub to dry if needed.

If you're missing personal care items, ask us what toiletries are available for guests.

Kitchen

Use tableware from matching sets. Avoid unique pieces — they may belong to someone personally.

You're welcome to use basic shared items available in quantity, such as eggs or milk. Please replace what you use promptly, especially if you take the last of something.

Wash pots and pans by hand. Brush or rinse dishes before putting them in the dishwasher. This is an everyday responsibility, not something to leave until checkout.

Keep tableware in the kitchen or dining area whenever possible. Taking a cup or plate to your bedroom is fine; collecting a private inventory is not!

Shared Consumables

Detergents, cleaning supplies, and other shared consumables are available for reasonable use.

Food & Beverages

Sharing isn't assumed, but it is always welcome when offered. Why not?

Please ask before using anything that isn't clearly communal.

Studio & Instruments

You'll find plenty of musical instruments and recording equipment around the residence. They're here to be used, explored, and enjoyed.

Please ask before using an instrument or piece of equipment for the first time. We'll introduce you to it, explain anything you need to know, and agree on how you can use it independently.

Treat everything with care.

Never connect an instrument or piece of equipment to a power outlet without first confirming the voltage. Most of our equipment is designed for American or Japanese electrical systems and requires a step-down transformer. Connecting it directly to European mains power can destroy the equipment and pose a serious electrical hazard.

Don't move equipment between rooms without permission.

Keep food and drinks away from instruments and recording equipment.

Tell us promptly if anything stops working or gets damaged. Accidents happen; open communication matters.

Residents are expected to take responsibility for damage caused by negligent or unauthorized use, but not for ordinary wear or pre-existing problems.

These aren't museum exhibits. We want you to make use of them — responsibly.

Belongings & Premises

Nothing may be taken off the premises. This includes instruments, recording equipment, cables, accessories, kitchenware, tableware, and any other belongings of Ikalto Micro Art Residence or its residents.

Please respect personal belongings, even when they're kept in shared spaces.

Drinks & Hospitality

Ikalto Micro Art Residence also has a selection of local wines and other drinks.

Ask us what's available and about the current prices. Drinks belong in the designated social areas, not around recording equipment or instruments.

Doors & Keys

If you want to lock the door, use your key. Do not lock it any other way.

Please take care of your key and let us know immediately if it's lost.

Finally

Make yourself at home, and don't hesitate to ask questions.

Welcome!
